How Bibs On handles data. Written for volunteer grassroots coaches in the UK. Last updated 13 October 2026.
Who we are
Bibs On (bibson.app) is a session planner for grassroots football coaches. Contact: hello@bibson.app
What we collect
- Your email address when you create an account.
- A device notification token if you allow notifications, so we can ping the phone or browser you said yes on. Apple, Google, or your browser deliver that message.
- A hashed sign-in token if you turn on Face ID or fingerprint on the phone app, so the next sign-in can skip the password. The scan itself never leaves the phone.
- Session plans you create: age group, numbers, equipment notes, coaching words and diagrams.
- Optional private reflections you write after a session.
- Teams you save: a name, age group, format, training night and time, and how many usually turn up, so each session starts from them and we can remind you the night before.
- Children's first names, only if you type them into a team sheet or save a squad, so it can make the teams and the link for the parents. A name and nothing else. Initials or a nickname work just as well.
- If you save a player you coach one to three at a time (Pro): their first name, age group and one note you write about what they are working on. Each note replaces the last, so no history is kept. The name stays in the app: session plans are written for Player 1, Player 2, and the name is never sent to the planner, printed or shared.
- If you take a seat your club has paid for, the people who look after the club's seats see your name, email, when you joined and when you last planned a session. They do not see your sessions, teams or players.
- A device cookie, so anything you make before signing in, like a team sheet, stays on this phone.
- Basic product analytics (pages and events), linked to your account email once you sign in, recordings of how the app is used with anything you type and children's names hidden, and error logs, to keep the service working. Our analytics provider holds this in the EU. We do not use advertising cookies.
What we do not collect
- Face ID, Touch ID, or fingerprint images. Those stay on your phone.
- Children's photos, dates of birth or contact details, any record of a child's attendance or health, or a history of how a child has done.
- Location tracking or contact lists from your phone.
- Payment card details on our servers. Consumer checkout on the website and in the apps is handled by the payment providers. Card data never hits our servers.
Planning providers
To invent a session we send your age group, numbers, space, equipment and aim to our planning providers. We do not send children's names. Those providers must protect the data as we do.
Why we use it
To build and save your plans, sign you in (including Face ID or fingerprint on the phone app, if you turn that on), send password-reset and optional session reminders (email, and a notification on a phone or browser you have allowed), improve reliability, and (if you choose Pro) manage your subscription through website checkout or the App Store or Google Play. We may also send product tip emails about planning and running sessions, and a rare re-engagement notification if you allowed notifications. You can turn tip emails off from any tip email, and notifications or Face ID sign-in off in Account. Emails about money we are about to take (the end of a Pro trial, a yearly renewal) go to you whatever your email choices. We do not sell personal data.
How long we keep it
Account and saved plans stay while you use the product. Anonymous preview plans on a device cookie are replaced when you sign in or clear site data. After you delete your account we remove your email and plans. We may keep invoices for tax for as long as the law requires.
Team sheets made without an account are deleted 90 days after they last changed. Sheets, squads and saved players stay on your account until you delete them or the account. Removing a player from a squad does not change sheets already built. You can delete any sheet from the sheet itself, and its parents' link stops working straight away.
Delete your account
Signed-in coaches can delete their account and associated plans from Account in the app. You can also email us at the address above. Deleting the app account does not cancel a subscription from the App Store or Google Play. Cancel that in the store.
Your rights
Under UK GDPR you can ask for a copy of your data, corrections, or deletion. Email us at the address above. You can also complain to the ICO if you are unhappy with how we handle your data.
